Logging in for the First Time
When you login for the first time as a user on the Classic
Account Plus or Premium Account level you will be required
to enter information about your professional license type
such as an RN, RT, LPN license etc… When future
documents are uploaded for CE credit etc… they are
attached to a particular license. Please make adding or
updating this information your first order of business
when logging in for the first time. Additionally, we need
this so our tracking mechanism for your license expiration
date works correctly.

Scanning a Document
A scanned and uploaded document is the
best format for reprinting and viewing your document from
our site. Faxed documents, although an acceptable alternative,
have a much lower resolution resulting in a reduced quality
for reprinting and viewing. There are many types of scanners
for creating an image of your document out there. It is
important for you to consult your instructions for the
scanner that you have for the technical details on scanning
a document. Here are a few universal items that can be
stated about scanning a document for our purposes-
- Use 72 dpi. (Dots per inch resolution which is usually
the default setting) caution, never use more than 100
dpi as your document may exceed the file size requirement
to be uploaded.
- Keep the setting on photos and not black and white.
(This creates a more detailed enriched image keeping the
colors and shades of gray intact)
- Create your scan in JPEG, JPG format. (This is a compressed
version of your document which is better for uploading
and storing). A PDF is also acceptable but, again, be
careful the scanned file size is not too large for uploading.
- When asked for the quality of your JPEG, select a value
greater than 6 and less than 12 or if asked in terms of
percent, select 50-75% which in most cases is sufficient.

Storing Your Scanned Documents
It is important to store your scanned
document in a place that can be easily recalled. If you
do not have a folder created for this you should create
a folder to keep your documents for uploading to our site.
- Create a folder on your desktop called "Upload
Docs".
- When you scan your documents you are usually asked
where you would like to file the scanned document
or your program may have a setting that puts its scanned
documents into a default location. By clicking the
scan settings you can usually change this location
to your newly created folder on the desktop.
- In addition, I would create another folder on the
desktop called "Uploaded Docs". Here you
can move your documents that you have already uploaded
from "Upload Docs" in case you need to
re-upload. Then each time you scan and upload documents,
you are working with an empty folder so you know which
scanned documents are waiting to be uploaded and which
are already uploaded.

Uploading Your Stored Document
- Assuming if you are reading this tutorial,
you must be logged in, select the “Upload a Document”
option and you will be asked to Browse your folders to
find the document.
- Click the “Browse” option and click the
Desktop location from the laft side of the folders menu
or you can click in the box above where the “C:
“ is demonstrated. A drop down box should appear
and at the top of the drop down menu you should see “Desktop”.
Click this.
- Find the folder listed in the folders to the right
called “Upload Docs”. Double click it. (This
should be where you have stored your documents to be uploaded.
- Select the file you need to upload by double clicking
it.
- Your file name should now appear in the website text
box.
- Now click the submit button to upload the document.
A brief icon should appear in the center of the screen
stating that your document is “Uploading”.
When this is complete, the icon goes away and you can
repeat these steps for another document.

Faxing a Document
- You may at anytime fax a document to be stored on
our site within your account by faxing the document
to 800-684-9318. We will convert the document to either
a PDF or JPG and store within your account. Faxing
a document is the least desirable method to getting
a document to us; however, we realize there are individuals
that do not have access to a scanner and therefore,
have no alternative. Your faxed document will be a
lower quality record and depending on the quality
of the original document, visual degradation can occur.
- When you submit faxed documents, please try and
send each document as a separate fax as we need to
associate each fax as an individual document in our
system so that you can selectively view, send or reprint
the document in the future.

Important Items to Remember
- Try to avoid uploading a WORD document (From a word
processing program such as WORD, WORKS and others). These
documents can be downloaded and manipulated by others.
Always upload an image of your document such as a JPEG,
JPG or PDF.
- Your document should be no larger than 150Kb in size
if possible. This is achieved by using no more than a
resolution of 72 dpi and a JPG quality of 50%.
- You can fax your documents to 800-684-9318 and we can
upload your documents to your account for you. However,
please realize that faxed documents are a much lower quality
than a scanned uploaded image. This will be seen when
viewing or re-printing the document from the site.
- Your documents will not appear in your document vault
immediately after faxing or scanning. We employ individuals
to evaluate your document for quality and accuracy. These
individuals will usually have your documents inspected
and the data associated with the document added to your
account within 24 hours. If you need sooner, you can always
call 800-684-4311 and we will do our best to meet your
request.
- The ideal way to use this site is to upload your documents
and CE certificates as you receive them. This assures
the highest level of organization and reduces your risk
of losing or misplacing the document. Further, you will
not be scrambling to upload your documents for the purposes
of getting an organized transcript at the last minute.
By uploading your documents as you go along throughout
the year, you will have an accurate count of your CE hours
to see assess your need to fulfill more prior to your
license expiring.
- When faxing, try to send each related document to us
as a separate fax. (See Faxing a Document). Not waiting
till the last minute to upload documents will help with
this.
